BCEL1020: Using OR Conditions

Your organization is using many Groups to manage users, including gaining access to specific Groups as part of onboarding. No matter if you're added to the Customer Success Group, the Professional Services Group, or the Support Group, you're part of the larger Customer Experience organization, and need the same items. 

How can this be accomplished?

  • Reduce the number of Workflows you'll need to build within BetterCloud
  • Understand how to group multiple OR variables alongside multiple AND variables within your IF conditions

Out With The Old IF Conditions...

In the example at the very beginning of the article. you need to take action whenever any user is added to one of the three Groups listed, but the result of being added to any of the three Groups is the same: receive a licenced Zoom account, be added to the CX Slack Channel, and gain access to the CX Shared Drive.

In the past, you'd need to create three separate Workflows:

  • WHEN Users is Added to a Group
    • IF Group is Customer Success
  • WHEN Users is Added to a Group
    • IF Group is Professional Services

  • WHEN Users is Added to a Group
    • IF Group is Support

However, the THEN conditions would all be the same:

  • Change Zoom User Type to Licenced
  • Add to Slack CX Channel
  • Grant full access to the Google CX Shared Drive

...In With the New IF Conditions

BetterCloud now has the ability to add OR variables to your Workflow IF conditions, changing the above to be one workflow instead of three! Now the Workflow breaks down like this...

  • WHEN Users is Added to a Group
    • IF Group is Customer Success
    • OR IF Group is Professional Services
    • OR IF Group is Support
  • THEN...
    • Change Zoom User Type to Licenced
    • Add to Slack CX Channel
    • Grant full access to the Google CX Shared Drive

This broadens the Workflow and makes it so that you are catching all the users who would need the THEN actions taken on them, limiting the number of Workflows you need and ultimately making your Workflows easier to maintain.

Can I Still Use AND Variables?

Yes! AND is still a variable that you can utilize when building your Workflows. Perhaps the above is only true of people in the New York Cost Center. Now not just anyone who joins either of those three Groups will need specific actions taken on them, but those actions will be specific to a User's Cost Center. What would that look like?

Your OR variables can be nested, or grouped together. Meaning that if any of the three ORs are true, plus your AND condition is also true, then take action. Here's how that appears in the product.

Notice that the Groups in the first section are sectioned off, with the Cost Center starting a new section. What this is saying is and of the above will make this Workflow run...

  • IF Group is Customer Success AND IF Cost Center is New York
  • IF Group is Professional Services AND IF Cost Center is New York
  • IF Group is Support AND IF Cost Center is New York

No matter the Group listed in the first section, the user MUST have New York listed in the Cost Center profile field in order for it to begin.
